Main Duties; Key Responsibilities
The successful candidate will carry out the following duties in line with my client's standards.
and strategic objectives, in conjunction with the executive assistant team and in partnership
with the other Senior Executive Assistant, and as directed by the Director.
Coordinate and complete a broad variety of administrative tasks to support the work
of the President and the Executive team including (but not
confined to): managing an active calendar of appointments; completing reports;
composing and preparing correspondence that is sometimes confidential; arranging
complex and detailed travel plans, itineraries, and agendas; and compiling
documents for travel-related meetings.
Plan, coordinate and ensure the President's schedule is consistently kept up to date
and coordinated with the Executive Team.
End-to-end event management, including dinners, receptions, launches,
visits by foreign dignitaries etc.
Communicates directly, and on behalf of the President, when required, with Council
members, Committee members, and others, on matters related to the President's.

Works closely and effectively with the President to keep them well informed of
upcoming commitments and responsibilities, following up appropriately.
Provides a channel for smooth communication between the President's office and
internal Departments; and maintains credibility, trust, and support with
the Senior Management Team.
Maintains responsibility for deliverables including drafting acknowledgement letters,
personal correspondence, and other tasks.
Prioritises well and handles their work matters proactively, to successful completion.
Responsible for all aspects of the President's activities, including but not limited to
diary management, reconciliation of expenses, travel arrangements,
correspondence, social events, hospitality etc.
Establishes and maintains databases, contact lists and circulation lists.
Such other duties as may be assigned by the President from time to time.
Knowledge & Skills
3-5 years' experience in a similar role;
Strong organisational skills that reflect ability to perform and prioritise multiple tasks
seamlessly with excellent attention to detail.
The ability to work collaboratively and to organise work duties and responsibilities as
part of a team
Very strong interpersonal skills and the ability to build relationships with stakeholders,
including staff, Council members, external partners etc.
Very strong written and verbal communication skills;
Demonstrated proactive approaches to problem-solving with strong decision-making
capability.
Senior Executive Assistant
Emotional maturity;
Highly resourceful team-player, with the ability to also be extremely effective
independently.
Proven ability to handle confidential information with discretion, be adaptable to
various competing demands, and demonstrate the highest level of service and
response.
Demonstrated ability to achieve high performance goals and meet deadlines in a fast
paced environment.
Experience of handling discrete administrative areas without supervision, taking
ownership of queries/issues and bringing them to a successful conclusion.
Excellent IT skills - demonstrable proficiency in using databases; spreadsheet
systems, PowerPoint, adobe, etc.
Salary 55k - 60k.
